DEPOSITS
When you register for a camp your deposits are due within 7 business days. DEPOSITS ARE NON-REFUNDABLE AND NON-TRANSFERRABLE TO ANOTHER CHURCH. You do have the option on or before January 17th to drop spots and apply the $50/person deposits to your remaining balance. After the January 17th deadline deposits for dropped spots will not be refunded or applied to your remaining balance.
The $50 deposit is to cover expenses involved with your church registration. These expenses include deposits to the resort, promotional and marketing such as, promo DVD, camp poster, web site, postage, mailing materials and processing fees.
FINAL PAYMENTS & COSTS
Final Payments are due May 2nd for June Camps and May 23rd for July Camps.
BigStuf will accept checks or credit cards (Visa, Mastercard, American Express and Discover).
There will be no rolling over of camp prices. For example, if we receive deposits for 10 spots on January 17th their cost will be $324.00. If we receive deposits for 10 additional people on January 18th their cost will be $334.00.
CANCELLATIONS
On or before the May 2nd deadline for June Camps and May 23rd deadline for July camps, you will only lose the $50 deposit for canceled spots. After those dates you are responsible for the entire camp price for all registered - NO EXCEPTIONS.
WAITING LIST
You have the option to be added to a waiting list for the camp you would like to attend. We do not require deposits until spots become available. Once you accept the spots, deposits are due within 7 business days. If the deposits are not received within 7 business days, the spots will be released to the next church on the waiting list.
T-SHIRT & rooming Forms
Camps 1-5 t-shirt and rooming forms are due May 2nd. Camps 6-10 t-shirt and rooming forms are due May 23rd. If you don't know for sure the t-shirt sizes, send in your best guess. You know the sizes better than we do and we have to order the shirts in advance. WE WILL NOT ACCEPT ANY T-SHIRT FORMS AFTER DUE DATES!!
consent forms
Consent forms are due upon arrival to camp. You will turn them in at the registration table. Please be sure to have everyone in your group fill one out, leaders and students. You cannot attend camp if we do not have all of your consent forms. We do need BigStuf 2008 Consent Forms. Your church consent forms will not work.
DRESS CODE
Dress Code: There is always a lot of discussion about appropriate attire both at the beach and in the meeting rooms. We don't want you to have to worry about what they can wear so we've decided to take responsibility ourselves and let you off the hook. We'll have our secret squad of clothing patrol on the lookout during the week. We don't expect to see any bare shoulders or navels in the sessions and two piece swimsuits are one piece too many. We do understand that some one-piece suits are not quite modest enough so when you talk to your students about this you can let them know that we have the right to bring a cover-up to them any time, which might prove to be embarrassing... so they should use their highest judgment when packing. We also aren't too fond of t-shirts with the wrong kind of message portrayed. In general the code is be smart and be prudent. We will enforce the code. NO TWO PIECE SWIMSUITS AND NO SPEEDOS!
REGISTRATION TIME
Registration at camp is between 4:00 and 5:30 central time. Please be aware that no keys will be released until 4pm.
CHILDREN
Small children of adult leaders are allowed at BigStuf Camp. Children under 7 will have special rates and are not included in total number of registrations. Children 8 and over are the regular camp price and are counted in total number of registrations.

Rooming
BigStuf blocks each church group’s rooms based on their discretion. All rooms will sleep 6 people. Some rooms have two double beds and a pull out couch and the other rooms have two double beds and one double air mattress on the floor. All linens will be provided by the hotel. If you need or want additional rooms for any purpose (i.e. safe sanctuary, extra room for youth pastor and wife, etc) there will be an extra charge. Each room costs $150 per night and has to be requested in advance.
BBR ROOM DAMAGES
You will be required by BigStuf and the BBR to fill out a Room Evaluation Form for each one of your rooms at camp. You will receive the forms when you get your room keys at registration. Each room must be inspected by a youth leader/chaperone before the students move in. The forms must be filled out very specifically and turned in by midnight the first night of camp.
The BBR requires BigStuf to get a copy of a credit card from every church at camp before we are able to give out room keys. They require this as a security measure for any room damages that may be done during camp. At registration BigStuf will make a carbon copy of a credit card and turn it into the hotel. If there are damages done in any of your rooms that are not marked on your Room Evaluation Form you will be notified by the BBR and handle the damages with them before you leave camp. This allows BigStuf to be taken out of any responsibility for damaged rooms.
NATIONAL DISASTER CANCELLATION POLICY
In the event of a national disaster or act of terror that cancels a BigStuf Camp, we will be unable to return you deposits. We purchase equipment, hire staff and rent non-refundable facilities based on your registrations. Please be advised that if a BigStuf Camp is cancelled, we cannot refund your deposits at any time.
WEATHER CANCELLATION POLICY
BigStuf has your groups safety in mind as we have camp. If we are forced to cancel a camp due to weather conditions, deposits cannot be refunded. Refunds of final balance payments will be made only if properties and/or locations refund BigStuf for these costs. If an event is hosted as scheduled and your group cancels or reduces number due to weather conditions, all payments are non-refundable.
