2008 Daytona Beach/ Policies

DEPOSITS

· When you register for the Daytona Beach Student Conference your deposits are due within 7 business days. DEPOSITS ARE NON-REFUNDABLE AND NON-TRANSFERRABLE TO ANOTHER CHURCH. You do have the option on or before January 17th to drop spots and apply the $50/person deposits to your remaining balance. After the January 17th deadline deposits for dropped spots will not be refunded or applied to your remaining balance.

· The $50 deposit is to cover expenses involved with your church registration. These expenses include deposits to the resort, promotional and marketing such as, promo DVD, camp poster, web site, postage, mailing materials and processing fees.

FINAL PAYMENTS & COSTS

· Final Payments are due on May 28th.

· BigStuf will accept checks or credit cards (Visa, Mastercard, American Express and Discover).

· There will be no rolling over of conference prices. For example, if we receive deposits for 10 spots on January 17th their cost will be $319.00. If we receive deposits for 10 additional people on January 18th their cost will be $329.00.

CANCELLATIONS

· On or before the May 28th deadline you will only lose the $50 deposit for canceled spots. After that dates you are responsible for the entire conference price for all registered - NO EXCEPTIONS.

WAITING LIST

· You have the option to be added to a waiting list. We do not require deposits until spots become available. Once you accept the spots, deposits are due within 7 business days. If the deposits are not received within 7 business days, the spots will be released to the next church on the waiting list.

Consent forms

· Consent forms are due upon arrival to the conference. You will turn them in at the registration table in the Arena. Please be sure to have everyone in your group fill one out, leaders and students. You cannot attend camp if we do not have all of your consent forms. We do need BigStuf 2008 Consent Forms. Your church consent forms will not work.

DRESS CODE

· Dress Code: There are always a lot of questions and discussions going on about appropriate attire on the beach as well as in the Arena. One-piece swimsuits or two? Spaghetti straps and halter-tops or granny dresses? What is going on? It’s become pretty clear that some youth pastors have different standards than others, and then some of them have a hard time laying down the “dress code law”. Youth Pastors and leaders, the reason for these parameters is so that we will not have to disrupt the focus of camp. It is up to you to keep the camp focused, and this is important. You may or may not agree, but we want to keep camp with as little distractions as possible. We do not expect to see any navels during the session and two-piece swimsuits are definitely one piece too many! We do understand that not all one-pieces are quite modest enough, so when you talk to your students please be clear on what is and is not appropriate beach wear. We also don’t really like seeing t-shirts with the wrong kind of message, so you may want to pass that along as well. In general, the dress code is: be smart, be prudent, and be respectful.

HOTEL ROOM DAMAGES

· You will be required to give BigStuf and the hotel a credit card number for any potential room damages. If the hotel charges BigStuf for any room damages, BigStuf will charge the credit card on file. You will give BigStuf this credit card number when you fill out the rooming request form on May 28th, and you will give your credit card number to the hotel when you check in.

NATIONAL DISASTER CANCELLATION POLICY

In the event of a national disaster or act of terror that cancels a BigStuf Camp, we will be unable to return you deposits. We purchase equipment, hire staff and rent non-refundable facilities based on your registrations. Please be advised that if a BigStuf Camp is cancelled, we cannot refund your deposits at any time.

WEATHER CANCELLATION POLICY

BigStuf has your group's safety in mind as we have camp. If we are forced to cancel a camp due to weather conditions, deposits cannot be refunded. Refunds of final balance payments will be made only if properties and/or locations refund BigStuf for these costs. If an event is hosted as scheduled and your group cancels or reduces number due to weather conditions, all payments are non-refundable.
